Job Description
We are seeking a diligent and detail-oriented Procurements and Logistics Officer to support the efficient delivery of procurement and logistical operations for its Tanzania Field Office. The ideal candidate will be responsible for managing the end-to-end procurement process, maintaining vendor relationships, supporting inventory and logistics functions, and ensuring compliance with internal policies and QC regulations.
Key Responsibilities:
Procurements (60%)
- Manage all procurement processes including sourcing, bidding, evaluations, and contract negotiations in line with Qatar Charity’s procurement guidelines.
- Prepare and issue procurement documents such as RFQs, Purchase Orders (POs), Receipts, contracts, and procurement reports.
- Maintain an up-to-date supplier database and conduct regular market surveys to ensure competitive pricing.
- Monitor procurement plans and ensure timely delivery of goods and services.
- Collaborate with program, finance, and Admin teams to coordinate procurement needs.
- Ensure all procurement documentation is complete, properly filed, and ready for audits.
- Assess and track supplier performance for continuous improvement.
- Ensure all procurement activities comply with local regulations and QC procurement procedures.
Logistics & Support (40%)
- Coordinate logistical arrangements including transportation, delivery schedules, and storage of goods.
- Monitor inventory levels, manage stock records, and conduct regular asset and inventory audits.
- Support warehouse operations and maintain updated inventory tracking systems.
- Coordinate staff travel, accommodations, and logistical support for field activities and workshops.
- Ensure all logistical procedures are aligned with QC safety and security protocols.
- Assist in organizing the maintenance and servicing of office facilities, vehicles, and equipment.
- Maintain proper documentation for all logistical transactions and movements.
Required Qualifications and Skills:
- Bachelor’s degree in Procurement, Logistics, Supply Chain Management, Finance, Accounts or related field.
- Minimum 2 years of experience in procurement and logistics, preferably in an INGO or humanitarian context.
- In-depth knowledge of procurement procedures, vendor management, and supply chain practices.
- Proficient in Microsoft Office applications, especially Excel and Word; knowledge of ERP or logistics software is an advantage.
- Excellent coordination, communication, and organizational skills.
- High level of integrity and confidentiality.
- Fluent in English and Kiswahili; Arabic is a plus.
- Ability to manage multiple priorities and work under pressure.
