JOB SUMMARY

The Operations Officer - Fleet is responsible for overseeing daily fleet and transport operations to ensure efficient vehicle utilization, timely deliveries, proper maintenance, and compliance with company and regulatory requirements.

The role supports operational efficiency by coordinating drivers, monitoring fleet performance, controlling fuel consumption, and ensuring all company vehicles remain in safe working condition.

KEY RESPONSIBILITIES

• Coordinate daily truck dispatch, delivery schedules, and route planning to ensure timely and efficient transportation operations.
• Monitor vehicle movement and utilization to maximize fleet productivity and minimize operational delays.
• Schedule and follow up on preventive maintenance, servicing, and repairs for trucks and related equipment.
• Ensure all fleet vehicles comply with company policies, road safety standards, insurance requirements, and regulatory obligations.
• Monitor fuel consumption and identify cases of overconsumption, misuse, or inefficient routing.
• Utilize GPS tracking systems and fleet management tools to monitor vehicle location, mileage, driver behavior, and trip performance.
• Supervise drivers and transport staff, including attendance, performance monitoring, and operational support.
• Maintain accurate fleet records, including service schedules, accident reports, licenses, registrations, and insurance documentation.
• Investigate vehicle incidents, breakdowns, or operational challenges and recommend corrective actions.
• Prepare operational reports on fleet performance, fuel usage, downtime, maintenance costs, and delivery efficiency.
• Support cost-control initiatives aimed at improving transport efficiency and reducing operational expenses.

REQUIRED SKILLS AND COMPETENCIES

• Strong knowledge of fleet operations, transport coordination, and vehicle maintenance procedures.
• Proficiency in GPS tracking systems and fleet management software.
• Good understanding of heavy-duty vehicle mechanics and maintenance requirements.
• Strong analytical and problem-solving skills, particularly in fuel management and route optimization.
• Effective communication and coordination skills.
• Ability to work under pressure and respond effectively to emergencies, accidents, or delays.
• Strong organizational and reporting skills.
• Knowledge of transport regulations and road safety requirements.

QUALIFICATIONS AND EXPERIENCE

• Diploma in Transport Management, Logistics, Supply Chain Management, Mechanical Engineering, or a related field.
• Minimum of 2-3 years’ experience in fleet operations, transport management, or logistics coordination.
• Experience in managing trucking operations and driver supervision is an added advantage.
• Familiarity with transport compliance and regulatory requirements.
