Position Details
- Position: Administration Officer II
- Department: Operations
- Section: Administration
- Salary Scale: COBSS 4 (at Officer level II)
- Reports to: Chief Manager Administration
- Location: Dar es Salaam
Position Objective The Administration Officer's role is to help efficiently manage the organization's administrative operations. This involves lease administration, managing assets and utilities, ensuring health and safety compliance, and preparing reports to support operational decisions and cost optimization.
Key Responsibilities
Lease Management:
- Maintaining current lease agreements and monitoring important dates like renewals, expiries, and payments.
- Coordinating lease negotiations, renewals, and terminations with land stakeholders and internal teams.
- Making sure rent and service charges are paid on time and that lease terms are followed.
- Conducting property inspections regularly and keeping proper lease documentation.
Assets Management:
- Maintaining an accurate and up-to-date asset register.
- Coordinating the purchase, movement, and disposal of assets in collaboration with the procurement department.
- Monitoring the condition of assets and coordinating maintenance or replacement when needed.
- Participating in regular asset verification exercises.
Utilities Management:
- Overseeing the management and payment of utility services such as electricity and water.
- Monitoring utility consumption and finding ways to improve efficiency.
- Resolving service issues with utility providers to ensure continuous service.
Health, Safety, and Environment (HSE):
- Implementing and ensuring compliance with OSHA, fire safety, and sanitation standards.
- Coordinating regular fire drills, first aid readiness, and OSHA training programs.
- Supervising cleanliness and hygiene in offices and branches and managing service providers.
- Maintaining records of incidents, inspections, and remedial actions.
Reporting and Cost Optimization:
- Preparing administrative reports on topics like lease status, asset inventory, utility usage, and maintenance schedules.
- Generating cost analysis and optimization reports to support budgeting and efficiency efforts.
- Tracking administrative Key Performance Indicators (KPIs).
- Proposing actionable cost-saving opportunities across administrative functions.
- Providing insights on improvements.
Qualifications, Skills & Experience
Qualifications:
A Bachelor's degree in Business Administration, Properties and Facilities Management, Land Management, and Valuation, Real Estate, Public Administration, Human Resource Management, Industrial Relations, Human Resource Planning, Political Science, Commerce, or Business Administration with a major in Human Resource Management, or an equivalent qualification from a recognized institution is required.
Skills:
- Strong knowledge of lease administration, OSHA requirements, and cost analysis.
- Proficiency in Microsoft Excel and Office.
- Excellent reporting, analytical, and organizational skills.
