Job Description

Responsibilities

  • Maintain and administer the petty cash fund, ensuring adequate cash on hand to cover anticipated expenses.
  • Review and verify petty cash requests, ensuring proper authorization, documentation, and adherence to company policies and procedures.
  • Disburse petty cash to employees and suppliers, recording and categorizing each transaction accurately.
  • Reconcile and balance the petty cash fund regularly, preparing reports for management review.
  • Assist in purchasing inventory, airtime, and fuel for company vehicles as needed.
  • Coordinate with suppliers to ensure timely procurement of inventory based on operational needs and demands.
  • Monitor inventory levels and reorder supplies as needed to prevent stockouts.
  • Maintain accurate and up-to-date records of all inventory purchases, including details of quantity, cost, supplier information, and delivery dates.
  • Assist in the performance of regular inventory audits, verifying the physical inventory against recorded data and assisting with any discrepancies or adjustments as needed.
  • Coordinate with other departments to support their administrative needs.
  • Handle sensitive information in a confidential and professional manner.
  • Ensure compliance with company policies.
  • Perform other administrative duties as assigned.

Qualifications

  • High school diploma or equivalent, with some experience in finance or administration preferred.
  • Strong attention to detail and organizational skills.
  • Proficiency in Microsoft Office, especially Excel, and familiarity with accounting software.
  • Ability to work independently and manage multiple tasks simultaneously.
  • Excellent communication skills and a professional demeanor.
  • Knowledge of basic accounting principles and best practices.
  • Strong problem-solving skills and the ability to handle confidential information responsibly.
