Job Summary
The Office Infrastructure Maintenance & Administration Executive will be responsible for ensuring the smooth operation, maintenance, and administration of office facilities, infrastructure, utilities, and related support services. The role involves coordinating preventive and corrective maintenance, managing office assets, supervising service providers, ensuring workplace safety, and supporting day-to-day administrative operations.
Key Responsibilities
Office Infrastructure Maintenance
- Conduct routine inspections of office buildings, workspaces, and common areas.
- Coordinate preventive and corrective maintenance of:
- Electrical systems
- Air conditioning systems
- Plumbing and sanitation facilities
- Office furniture and fittings
- Generators and power backup systems
- Fire safety equipment
- Maintain maintenance schedules and service records.
- Liaise with external contractors and vendors for repairs and maintenance services.
- Monitor service quality and ensure timely completion of maintenance tasks.
- Ensure office facilities comply with health, safety, and regulatory requirements.
Asset & Facility Management
- Maintain an up-to-date inventory of office assets.
- Coordinate asset tagging, movement, repairs, and disposal.
- Monitor office equipment utilization and maintenance requirements.
- Manage office space allocation and workspace arrangements.
- Support office renovations and infrastructure improvement projects.
Administration Support
- Coordinate office supplies procurement and stock management.
- Manage office utility services including electricity, water, internet, and telephone services.
- Support travel, accommodation, and logistics arrangements when required.
- Maintain records of service contracts, warranties, and vendor agreements.
- Assist in budget preparation and cost monitoring for facility-related expenses.
Vendor & Contract Management
- Source and evaluate maintenance service providers.
- Monitor vendor performance against agreed Service Level Agreements (SLAs).
- Process maintenance requests and track completion.
- Ensure all contractors comply with company safety and security procedures.
Health, Safety & Security
- Conduct regular workplace safety inspections.
- Ensure fire extinguishers, emergency exits, and safety signage are maintained.
- Coordinate emergency preparedness drills.
- Report and follow up on safety hazards and incidents.
- Support implementation of occupational health and safety policies.
IT Infrastructure Coordination (Optional/Preferred)
- Coordinate with IT teams for:
- Network cabling maintenance
- UPS and server room monitoring
- CCTV maintenance
- Access control systems
- Meeting room audio-visual equipment
- Escalate infrastructure-related issues to relevant technical teams.
Qualification
- Diploma or Bachelor's Degree in related field
Experience
- Minimum 1 - 2 year(s) of experience in office administration, facilities management, or infrastructure maintenance.
- Experience managing vendors and maintenance contractors.
- Experience in corporate office environments is preferred.
