Job Purpose

The Executive Assistant provides high-level executive and strategic support to the Chief Executive Officer (CEO), ensuring effective coordination of priorities, communication, and follow-through on key business initiatives.

The role facilitates decision-making, enhances operational efficiency within the Executive Office, and ensures continuity of operations, including representing the CEO when required, in alignment with the Bank’s goals and values.

Key Responsibilities

  • Manage and maintain the CEO’s calendar, appointments, and meetings, ensuring proper prioritization aligned with strategic objectives
  • Act as a key liaison between the CEO and internal/external stakeholders, ensuring clear communication and follow-through
  • Track strategic priorities, key projects, and deliverables across departments
  • Represent the CEO in internal meetings when required, including leading discussions and ensuring follow-up actions
  • Coordinate and chair meetings in the CEO’s absence when delegated
  • Prepare high-quality reports, presentations, and executive summaries for decision-making and board discussions
  • Consolidate and review departmental reports, highlighting insights, risks, and opportunities
  • Monitor progress on strategic initiatives and provide regular updates to the CEO
  • Coordinate meetings (internal and external), including agendas, minutes, and tracking action points
  • Ensure timely follow-up on key deliverables and action items
  • Screen calls, emails, and visitors, prioritizing matters requiring executive attention
  • Handle confidential correspondence and sensitive information with discretion
  • Organize travel arrangements, itineraries, and accommodation for the CEO
  • Support Board and Executive Committee meetings (documentation, logistics, and follow-ups)
  • Maintain effective filing and documentation systems (electronic and manual)
  • Drive continuous improvement in administrative, reporting, and coordination processes
  • Work collaboratively with senior management to ensure alignment with organizational goals
  • Adapt to changing priorities and work under pressure in a dynamic environment
  • Perform other duties as assigned

Education & Experience

  • Diploma or Bachelor’s Degree in Business Administration, Management, Economics, Finance, or a related field
  • Minimum of 5 years’ experience in executive-level support (preferably supporting C-suite or senior leadership)
  • Demonstrated experience in:
    • Executive reporting, presentations, and business communication
    • Coordinating senior management or Board-level activities
    • Managing complex schedules and competing priorities
  • Experience in the banking or financial services industry is an added advantage
  • Additional training or certification in executive administration, project coordination, or business communication is desirable
