Job Purpose
The Executive Assistant provides high-level executive and strategic support to the Chief Executive Officer (CEO), ensuring effective coordination of priorities, communication, and follow-through on key business initiatives.
The role facilitates decision-making, enhances operational efficiency within the Executive Office, and ensures continuity of operations, including representing the CEO when required, in alignment with the Bank’s goals and values.
Key Responsibilities
- Manage and maintain the CEO’s calendar, appointments, and meetings, ensuring proper prioritization aligned with strategic objectives
- Act as a key liaison between the CEO and internal/external stakeholders, ensuring clear communication and follow-through
- Track strategic priorities, key projects, and deliverables across departments
- Represent the CEO in internal meetings when required, including leading discussions and ensuring follow-up actions
- Coordinate and chair meetings in the CEO’s absence when delegated
- Prepare high-quality reports, presentations, and executive summaries for decision-making and board discussions
- Consolidate and review departmental reports, highlighting insights, risks, and opportunities
- Monitor progress on strategic initiatives and provide regular updates to the CEO
- Coordinate meetings (internal and external), including agendas, minutes, and tracking action points
- Ensure timely follow-up on key deliverables and action items
- Screen calls, emails, and visitors, prioritizing matters requiring executive attention
- Handle confidential correspondence and sensitive information with discretion
- Organize travel arrangements, itineraries, and accommodation for the CEO
- Support Board and Executive Committee meetings (documentation, logistics, and follow-ups)
- Maintain effective filing and documentation systems (electronic and manual)
- Drive continuous improvement in administrative, reporting, and coordination processes
- Work collaboratively with senior management to ensure alignment with organizational goals
- Adapt to changing priorities and work under pressure in a dynamic environment
- Perform other duties as assigned
Education & Experience
- Diploma or Bachelor’s Degree in Business Administration, Management, Economics, Finance, or a related field
- Minimum of 5 years’ experience in executive-level support (preferably supporting C-suite or senior leadership)
- Demonstrated experience in:
- Executive reporting, presentations, and business communication
- Coordinating senior management or Board-level activities
- Managing complex schedules and competing priorities
- Experience in the banking or financial services industry is an added advantage
- Additional training or certification in executive administration, project coordination, or business communication is desirable
