Job Description

Reporting Line: Head - Procurement & Property Services

Job Purpose

The Manager - Property Services will be responsible for ensuring the effective management of the organization's facilities and properties. The role involves supervising repairs and maintenance activities, coordinating facilities projects, ensuring compliance with regulatory requirements, and maintaining a safe and efficient working environment across all office locations.

Key Duties and Responsibilities

  • Review bills of quantities submitted by vendors and ensure that accurate invoices are processed for payment.

Plan, coordinate, and supervise periodic maintenance schedules for office facilities and equipment, including:

  • Generators
  • UPS systems
  • Stabilizers
  • Air conditioning units
  • Lifts
  • Inverters
  • Network printers
  • Photocopy machines
  • Furniture and fittings
  • Pest control services
  • Attend to issues highlighted in the weekly COC report and provide timely updates on corrective actions taken.
  • Prepare cost analyses for all repair and maintenance projects to support budgeting and cost control.
  • Ensure compliance with governance requirements, regulations, and audit standards related to property and facilities management.
  • Take charge during emergencies involving facilities and ensure that appropriate backup arrangements are in place to address urgent situations effectively.
  • Contribute to the development and implementation of business unit strategies through the execution of people management strategies and operational objectives.
  • Coordinate and support facilities-related projects, including:

New branch establishment
Branch expansion initiatives
Office reorganization activities
Construction and renovation projects

  • Coordinate the preparation, review, and approval of concept drawings for new projects.
  • Monitor project progress to ensure completion within approved timelines, budgets, and quality standards.
  • Maintain effective relationships with vendors, contractors, and service providers to ensure high-quality service delivery.
  • Ensure all facilities and properties are maintained in a safe, functional, and professional condition.
  • Perform any other duties assigned by management in line with the role's responsibilities.

Required Qualifications

  • Bachelor's Degree in any of the following fields:

Property and Facilities Management
Procurement
Civil Engineering
Electrical Engineering
Or a related discipline

  • Professional qualifications relevant to property or facilities management will be an added advantage.

Work Experience

  • Minimum of four (4) years of relevant working experience in property management, facilities management, engineering, or a related field.

Required Skills and Competencies

  • Strong analytical skills with the ability to review and evaluate information from multiple perspectives.
  • Excellent attention to detail and the ability to identify inaccuracies and inconsistencies in complex information.
  • Strong planning, coordination, and organizational skills.
  • Ability to manage multiple maintenance and project activities simultaneously.
  • Good communication and stakeholder management skills.
  • Problem-solving and decision-making abilities.
  • Knowledge of facilities management regulations, standards, and best practices.
  • Ability to remain focused and maintain high-quality work standards despite distractions or repetitive tasks.
  • Strong supervisory and team coordination skills.
  • Proficiency in preparing reports, cost analyses, and maintenance schedules.
