Job Description
Kokoa Kamili is a social enterprise producing some of the best organic cocoa in the world. We have a strong emphasis on attention to detail, quality control, and ensuring strong relationships with our 5,000+ smallholder farmers.
The successful applicant will be joining a small, exciting, young team, and will have the opportunity to grow with the business while having a significant input in the course it will take.
Position: Assistant Manager, Operations - Kilombero
Reports to: Operations Manager, Directors
Duty Station: Mbingu and Njage villages, Kilombero, Morogoro - some occasional travel within Tanzania may be required
Main Responsibilities
Operations
- Assist the Operations Manager to meet on time production and quality targets while keeping within budget.
- Conduct daily entry of production, inventory, and quality control data into the company computer system as required.
- Conduct quality evaluation on cocoa samples and record data as may be required.
- Conduct proper filing of operations documents and ensure availability of various documents and forms to all departments.
- Work together with QC staff to ensure all processing protocols and standards are followed.
- Conduct daily inspections of the processing facility as may be directed by the Manager.
- Courier documents, materials and supplies to and from desired locations.
- Serve as acting Operations Manager in the case of travel by the Operations Manager
Purchasing
- Suggest effective plans to source cocoa from existing and new farmers in cooperation with the Field Office and Purchasing Office.
- Receive farmer complaints, suggestions and forward such to the Manager for resolution.
- Assist the Field Office and Purchasing Office with farmer database updates.
- Analyze purchasing data and ensure daily cocoa delivery reminders to underperforming farmers through calls and SMS. Where farmers continue to have delivery issues, inform the Manager and develop action plans with Field and Purchasing Office
- Price tracking together with field staff and recording data.
- Conduct farmer advance follow-up visits with the Field Office.
- Advance cash to clerks in daily operations and reconcile with them where required.
HR
- Ensure health and safety measures are adhered to as directed by the Manager
- Ensure compliance with all local rules and regulations
- Enter Muster Roll data into company computer system as required
Extension
- Assist with organic farmer registration, inspection, and data entry.
- Work together with the Head Agronomy office to deliver effective training programs to farmers.
Other
- Carry out any other duties that may be assigned by the Operations Manager or Directors.
Qualifications
- Undergraduate degree in business, accounting, food science, or relevant field required.
- Experience in an office, factory, or agricultural processing environment.
- Excellent computer skills in business software (e.g. Google Sheets, Gmail, Asana), including accurate typing skills and the ability to use equations in Sheets/Excel.
- Experience conducting simple quality control analyses of agricultural products a plus.
- Experience with food safety plans or Good Manufacturing Practices a plus
- Excellent problem solving and analytical skills
- Detail-oriented
- Excellent communication skills in both written and spoken English and Kiswahili
- A valid Tanzanian Drivers License for motorbike (A) required together with ability to drive in the field. Saloon car (B) or pick-up (D) driving license also preferred.
