Job Description

Turner & Townsend is seeking a highly organized and detail-oriented Document Controller to support a major construction programme in Zanzibar. The successful candidate will be responsible for managing all project documentation across three concurrent projects, ensuring accuracy, accessibility, and compliance with industry standards and client requirements. This role is pivotal in maintaining the integrity of project records and facilitating seamless communication among stakeholders including the client, architects, engineers, EPC contractors, and internal teams.

Job Description

Document Management

  • Oversee the receipt, classification, distribution, workflow, issuing and archiving of all project documentation (drawings, contracts, reports, RFIs, specifications, motifications, instructions).
  • Establish and maintain document coding, naming convention and version control and ensure obsolete documents are archived
  • Set-up, configure and manage the Electronic Document Management System (EDMS) including user access, workflows, and metadata standards.
  • Develop and maintain document registers, logs, and numbering systems in line with project protocols

Compliance & Quality Assurance

  • Ensure all documentation complies with ISO standards, project specifications, and regulatory requirements.
  • Conduct regular audits and quality checks to ensure accuracy and completeness.
  • Support internal and external audits by preparing documentation and reports.

Collaboration & Communication

  • Act as the central point of contact for document-related queries across all project teams.
  • Facilitate communication between consultants, contractors, departments and external stakeholders to ensure timely document exchange.
  • Attend project meetings (kick-off, progress, task force) and provide updates on document control status.

Training & Support

  • Train and support team members in using the EDMS and document control procedures.

Project-Specific Duties

  • Establish project communication protocols and work-share specifications.
  • Interface with all parties and coordinate document workflows with design and engineering teams, contractors, client
  • Support the Project Directo and Project Leads with documentation-related tasks and reporting.

Qualifications

  • Diploma or Bachelor's degree in Business Administration, Information Management, Construction Management, or a related field.
  • Certification in Document Control (e.g., from the Association for Information and Image Management (AIIM), or QSDC Document Control Certification).
  • Experience working on multi-disciplinary construction projects, preferably in infrastructure, hospitality, or healthcare sectors.
  • Familiarity with international standards such as ISO 9001 (Quality Management Systems) and ISO 19650 (BIM and information management).
  • Experience with project collaboration platforms such as Aconex, Viewpoint, Asite, or similar.
  • Understanding of project lifecycle documentation requirements (design, procurement, construction, commissioning).
  • Knowledge of data privacy and document retention policies relevant to construction and engineering projects.
  • Ability to manage and mentor junior document control staff.
