Experience Required:
- Minimum of three (3) years of experience in logistics coordination, preferably within the cement industry or bulk cargo operations.
Key Responsibilities:
Safety and Sustainability
- Promote safety awareness among drivers and logistics personnel.
- Champion sustainability initiatives, including fuel efficiency, emissions tracking, and clean energy practices.
- Encourage the use of online truck inspections and ensure identified gaps are addressed.
- Conduct regular safety discussions and training sessions with drivers and transport service providers.
Delivery and Dispatch Coordination
- Coordinate daily cement deliveries based on confirmed customer orders and transport availability.
- Liaise with the packing plant to schedule and monitor truck loading activities.
- Optimize truck turnaround times and maximize backhaul utilization whenever possible.
Order and Payment Processing
- Receive and verify customer orders and payment confirmations.
- Follow up with the finance department to ensure timely payment booking and release of deliveries.
Traffic and Yard Management
- Manage truck movement within and around the plant to minimize congestion.
- Ensure adherence to yard access procedures and safety requirements.
- Maintain a conducive operating environment for drivers.
Customer Communication
- Provide customers with regular updates regarding delivery status.
- Address customer inquiries related to dispatch, documentation, and delivery schedules.
- Promote the effective use of digital platforms to enhance customer service and identify improvement opportunities.
Documentation and Compliance
- Prepare and manage export documentation for cross-border shipments.
- Process logistics permits and ensure compliance with applicable regulations.
- Maintain accurate electronic records of delivery notes, transport documents, and export documentation.
Port Operations
- Coordinate port activities for incoming and outgoing cargo.
- Work closely with port authorities, customs officials, and shipping agents to facilitate efficient cargo handling and avoid demurrage costs.
Contract and Procurement Coordination
- Support procurement activities related to transport contracts and service provider management.
- Monitor contract performance indicators and escalate non-compliance issues when necessary.
- Participate in supplier performance evaluations.
Supplier Invoice Management
- Conduct daily reconciliation of transporter invoices against agreed freight rates.
- Follow up on outstanding payments, resolve invoice queries, and provide feedback to transporters.
- Promote the use of self-billing invoices.
Inbound Logistics
- Coordinate the loading and delivery of raw materials.
- Collaborate with Procurement and Production teams to maintain optimal stock levels.
- Drive backhaul utilization initiatives to reduce transport costs.
- Ensure efficient loading and offloading processes with minimal delays.
- Monitor goods in transit to ensure timely and secure delivery.
- Encourage the use of digital tools to improve logistics visibility and control.
Additional Responsibilities
- Perform any other duties assigned by the Supervisor.
Qualifications
- Diploma or Degree in Logistics, Transport Management, Business Administration, or a related field.
- Proficiency in Microsoft Office applications and logistics systems such as Transport Management Systems (TMS) and tracking platforms.
- Knowledge of Tanzanian transport regulations and export procedures.
Required Skills and Competencies
- Strong coordination and multitasking abilities.
- Excellent communication and customer service skills.
- Knowledge of logistics software and ERP systems.
- Familiarity with port operations and export documentation processes.
- Strong attention to detail and problem-solving capabilities.
