Job Description
Nature and scope
The successful candidate will report to the General Manager. He/She will be responsible for procurement or supply chain, and strong skills in negotiation, contract management, and data analysis. Key knowledge includes supply chain management principles, procurement software, and an understanding of legal and financial aspects of purchasing.
Duties and Responsibilities
- Identify, evaluate, and select reliable suppliers for goods and services.
- Prepare the Annual Procurement Plan of the Entity
- Negotiate pricing, contracts, and terms with suppliers to secure the best deals.
- Develop and maintain strong, positive relationships with vendors and suppliers.
- Maintain and update a list of approved suppliers and their performance records.
- Plan annual budgets and forecast procurement costs.
- Identify and implement opportunities to reduce costs and achieve cost-effectiveness.
- Monitor expenditure and manage the budget for purchased items.
- Understand and enforce the organization's procurement policies and procedures.
- Prepare and process purchase orders, ensuring technical details and terms are clear.
- Monitor the procurement process, including tenders, to ensure it aligns with organizational goals.
- Ensure that purchased items meet industry standards and organizational requirements.
- Coordinate the logistics for on-time delivery of materials and services.
- Manage inventories and maintain accurate purchasing and pricing records.
- Perform risk assessments on potential contracts and agreements.
- Ensure that all purchases are made in a timely, cost-effective, and ethical manner.
- Communicate effectively with internal departments to understand their procurement needs.
- Build strong relationships with various stakeholders to ensure organizational objectives are met.
- Compile and maintain all necessary supporting documents for purchases.
- Keep accurate purchase and pricing records for internal use.
Qualifications, Knowledge, and Experience
- A bachelor's degree in Supply Chain Management, Procurement and Logistics Management, Procurement and Supplies Management, Material Management.
- Must be registered with the Procurement and Supply Professionals board (PSPTB).
- Three (03) years of professional experience in procurement, supply chain management, or a related role is often required.
