Job Description
The successful candidate will report to the General Manager. He/She will be
responsible for procuring, ordering, receiving, storing and issuing of store items.
This role will involve the management and preparation of tender documents,
oversight of procurement processes, and maintenance of warehouse inventories.
Duties and Responsibilities:
i. To participate in preparing annual procurement plans;
ii. To prepare Procurement reports as may be required from time to time;
iii. To record and maintain fixed asset register of the Union;
iv. To identify stock item requirements for placement of orders;
v. To perform stock taking;
vi. To prepare purchase orders as per approved tenders/quotes;
vii. To prepare and maintain records related to the procurement process;
viii. To collect and keep statistics of the institution's bidders
ix. To perform inspections of inventories of the institution's equipment from
time to time
x. To keep records of purchases;
xi. To control reorder levels;
xii. To capture all procurement data in the database;
xiii. To gather and maintain market intelligence on prices for certain products
xiv. To inspect goods received; and
xv. To ensure that all documents and attachments are ready for audits
xvi. To verify all claims before payments
xvii. To ensure the warehouse and items are kept clean and secure
xviii. To carry out any other related duties as assigned by the Supervisor from
time to time.
Qualifications, knowledge and Experience
i.Holder of Bachelor Degree/Advanced Diploma in one of the following fields:
Procurement and Supplies Management, Logistics Management, Materials
Management, Commerce /Business Administration majoring in
Procurement and Supplies Management or equivalent qualifications from a
recognized institution.
ii. Certificate of certification of expertise in Supplies and Procurement (CSP) or
must be registered by PSPTB under Graduate Category
iii. At least two (2) years working experience in procurement and storekeeping;
