Expected Duration

Result of Service
Efficient processing, documentation, tracking, and distribution of incoming and outgoing mail, pouch shipments, and courier deliveries. Maintain accurate records, comply with mail and pouch regulations, and support the timely delivery of urgent, confidential, and official correspondence to internal and external stakeholders. Provide administrative support for travel document processing and staff tax registration requirements while performing other operational duties as assigned.

Reporting Line
The position is situated in the General Services Section of the International Residual Mechanism for Criminal Tribunals (IRMCT), Arusha Branch.
The incumbent will work under the general supervision of the Logistics Operations Officer.
Duties and Responsibilities
- Responsible for pouch dispatch documentation, distribution of interoffice mail, incoming pouch, outgoing mail materials, and overnight express services.
- Prepare tags to identify destinations, dates, airline carrier, and correct pouch numbers, including summaries of enclosures for each destination.
- Estimate the number of pouches and prepare a daily pouch log reflecting the number of pouches, weights, and other relevant details for scheduled airline destinations and airlines.
- Track the distribution of all mail as well as pouch services.
- Ensure that all items received through the incoming pouch for intra-shipment, outgoing pouch, and incoming mail units are accurately recorded.
- Sign for valuable items to be shipped via pouch and outgoing mail unit, identify and sort items to be shipped by pouch, by mail, or by contracted shippers.
- Ensure timely distribution of urgent mail.
- Deliver by hand sensitive and urgent letters to embassies, government ministries, United Nations agencies, NGOs, and other organizations.
- Ensure timely distribution of conference documents.
- Receive all official, personal, and confidential mail and packages addressed to the United Nations Mechanism for International Criminal Tribunals, deliver them, and maintain accurate records.
- Receive certified mail, registered mail, express mail, mail from permanent missions, courier deliveries, and other personal mail; prepare a log sheet and forward it to the appropriate offices.
- Assist the unit supervisor in opening and inspecting items intended for dispatch to ensure compliance with pouch and mail regulations.
- Deliver and collect travel documents to and from the Arusha Immigration Office.
- Assist IRMCT staff with registration at the Tanzania Revenue Authority and obtaining Tax Identification Numbers (TIN).
- Perform other ad hoc tasks as assigned.
Qualifications and Special Skills
- Successful completion of a high school diploma or equivalent is required.
- Minimum of two (2) years of experience in handling mail, pouch registry operations, or related areas.
- Demonstrated experience in professional driving.
- Valid Category B driving licence is required.
- Ability to operate different categories of vehicles is desirable.
Languages
- English and French are the working languages of the Mechanism.
- Fluency in spoken and written English is required.
- Working knowledge of Swahili (Kiswahili) is desirable.

- The appointment is limited to the International Residual Mechanism for Criminal Tribunals.
- This position is subject to local recruitment.
