Job Purpose
The Credit Administration & Monitoring Officer is responsible for maintaining independent credit controls and ensuring compliance with internal policies, group guidelines, and Central Bank regulations. The role ensures effective management of the credit portfolio, proper documentation of securities, and accurate preparation of credit management information and regulatory reports.
The role also provides administrative and operational support to the Credit and Risk Management function while safeguarding the bank’s financial strength and reputation.
Key Objectives
- Ensure compliance with local regulatory guidelines, group policies, and Central Bank procedures.
- Maintain oversight of the total credit portfolio and related securities.
- Ensure accurate preparation and submission of credit risk and management reports.
- Support administrative and operational processes within Credit/Risk Management.
- Ensure compliance with regulatory credit risk reporting requirements.
- Maintain proper credit security documentation and filing standards.
Key Duties and Responsibilities
- Manage end-to-end credit back-office operations before and after loan disbursement to mitigate operational risk.
- Review all credit approval conditions and ensure full documentation is completed before disbursement.
- Ensure all pre-disbursement requirements including fees, charges, and insurance payments are fulfilled.
- Confirm execution of offer letters by customers prior to facility activation.
- Ensure proper execution and registration of security documents in line with bank requirements.
- Prepare Credit Availment Tickets (CAT) with accurate data for facility booking and disbursement.
- Analyze and interpret credit portfolio data for management and regulatory reporting.
- Monitor arrears, overdrafts, and excesses in normal and watch list accounts and recommend corrective actions.
- Ensure timely submission of Central Bank, Board, and internal management reports.
- Monitor insurance coverage for all credit facilities and ensure continuous validity.
- Enforce compliance with credit covenants and escalate any adverse changes immediately.
- Manage valuation processes for collateral and oversee approved valuers.
- Coordinate property, equipment, and inventory valuations to ensure compliance with policy.
- Conduct monthly and quarterly risk classification of accounts in line with Central Bank and IFRS 9 requirements.
- Reconcile risk classifications with Finance and Remedial Management outputs.
- Manage general ledger reconciliation including interest suspense and provisions accounts.
- Monitor overdraft reviews and ensure timely renewal before expiry.
- Track settlement of temporary overdrafts and excess approvals.
- Respond to branch and customer queries on credit and system related issues.
- Manage collateral inspection and site visit reporting processes.
- Maintain custody of all credit files and ensure proper updating.
- Ensure timely reporting to credit bureaus and data banks.
- Maintain tickler systems for insurance, limits, expiries, and documentation follow-ups.
- Ensure acceptable audit ratings in all credit review processes.
- Support loan recovery and remedial coordination activities.
- Perform any other duties assigned by management.

- Effectiveness of loan restructuring and workout processes
- Timeliness of credit reporting submissions
- Accuracy of risk classification (BOT and IFRS 9 compliance)
- Audit rating performance in credit reviews
Job Requirements
- Bachelor’s Degree in Business, Accounting, Finance, Law, or related field
- Minimum 3 years banking experience
- At least 2 years experience in Credit Administration or Credit Risk Operations
