Job Purpose

To manage the end-to-end investor operations of all managed funds and Collective Investment Schemes, including on-boarding, KYC and Customer Due Diligence, subscriptions, allocation of units, repurchases, account maintenance, and unit holder registry control. The role ensures that each investor instruction is complete, authorized, processed at the correct price, reconciled, communicated, and supported by a complete audit trail.

Principle Responsibilities

  • Receive and review applications from individual, joint, minor, corporate, institutional, trust, and other permitted investor categories using approved on-boarding requirements.
  • Perform Know Your Customer verification and Customer Due Diligence, including identification, legal status, beneficial ownership, authorised signatories, contact details, bank information, source of funds, risk classification, sanctions screening, and politically exposed person screening; perform periodic and event-driven KYC reviews and follow up on expired, missing, or changed client information.
  • Refer high-risk, unusual, incomplete, or potentially suspicious cases to Compliance or the appropriate approving authority and do not activate accounts before all required approvals are obtained.
  • Create and maintain investor accounts in the fund administration and registry systems and ensure that each record is complete, accurate, current, and supported by retrievable documentation.
  • Receive and validate subscription instructions against cleared funds, investor account details, product eligibility, minimum investment requirements, applicable cut-off times, and required approvals.
  • Match incoming funds to investor instructions using approved payment references and investigate unmatched, unidentified, returned, or unallocated funds promptly.
  • Calculate and allocate units using the approved NAV and applicable issue-price rules, subject to maker-checker review and final approval; record subscriptions and unit allotments in the registry system, update units in issue, and issue confirmations or statements within approved timelines.
  • Maintain a complete subscription and unit-allocation audit trail linking the application, payment, NAV, units allocated, approval, and client confirmation.
  • Receive and validate repurchase requests, confirm ownership and available units, verify signatures and payment details, and apply the relevant cut-off and repurchase-price rules; calculate units to be cancelled and repurchase proceeds, including any approved fees or taxes, and prepare payment instructions for authorised review and release.
  • Process switches, transfers, changes of investor particulars, bank-detail amendments, mandates, pledges, freezes, and other permitted registry transactions using the required controls.
  • Monitor pending repurchases and other instructions through completion and promptly escalate documentation, liquidity, payment, fraud, or service-level issues; issue transaction confirmations and maintain evidence linking each instruction, approval, unit cancellation or change, payment, and client communication.
  • Maintain the official unitholder register, including investor details, units held, transaction history, account status, mandates, restrictions, and distribution instructions.
  • Reconcile daily subscriptions, repurchases, units issued or cancelled, units in issue, investor cash, and pending transactions to bank records, control accounts, and information provided to Fund Accounting; investigate registry and cash differences promptly, document corrective action, and escalate aged or material exceptions to the Manager Fund Administration and Operations.
  • Support income distributions, statements, tax certificates, investor notices, and other registry outputs and verify the accuracy of recipient and payment data.
  • Respond accurately and promptly to authorized investor and distribution-channel inquiries concerning on-boarding, account status, transaction progress, unit holdings, statements, and operational requirements; record, investigate, resolve, or escalate complaints and service requests in accordance with approved procedures and turnaround times; maintain complete client-contact and transaction logs and protect the confidentiality of investor information in every channel.
  • Provide Fund Accounting, Sales, Compliance, and management with accurate transaction, flow, exception, and service reports; apply maker-checker controls and ensure that no investor account, unit transaction, bank-detail change, or payment instruction is processed without the required evidence and approval.
  • Comply with Collective Investment Scheme requirements, AML and CFT obligations, data-protection requirements, scheme documents, and approved operational procedures; support internal and external audits, regulatory inspections, KYC remediation exercises, and timely closure of assigned findings.
  • Participate in system implementation, user acceptance testing, process automation, data-quality reviews, and business continuity tests affecting investor operations, and maintain orderly and retrievable records in accordance with approved retention requirements.

Qualifications Required

  • Bachelors degree in finance, Accounting, Banking, Business Administration, Economics, or a related field.
  • Minimum of 4 years of relevant experience in fund operations, fund administration, investor registry, custody, securities operations, banking operations, or financial services.
  • Professional qualifications such as CISI, IMC, ACCA, CPA, CIFA, AML, Compliance, or other relevant capital markets, investment, accounting, or operations certifications will be an added advantage.
  • Practical experience in investor on-boarding, KYC and Customer Due Diligence, transaction processing, unit allocation, repurchases, reconciliations, and client servicing.
  • Working knowledge of the Tanzanian Collective Investment Scheme environment, AML and CFT requirements, investor-record controls, and capital-market operations.
  • Understanding of regulatory requirements governing Collective Investment Schemes, investor protection, data privacy, and record management.
  • Strong analytical, problem-solving, and stakeholder management skills with the ability to manage multiple operational activities within agreed service leve
  • Strong numerical accuracy, document-review ability, customer-service skills, and proficiency in fund administration, registry, spreadsheet, and workflow systems.
  • Experience supporting digital on-boarding, payment matching, registry-system implementation, or operational automation.
