Job Purpose
We are looking for a highly organized and proactive Procurement Intern to support daily procurement operations within the country office.

Under the supervision of a Procurement Officer, the intern will assist with obtaining pricing quotes, managing purchase orders, processing invoices, tracking deliveries, and maintaining procurement records. The role also involves contributing to procurement process improvements and ensuring cost effectiveness.

Key Responsibilities

Procurement Process (70%)

  • Track procurement requests based on the procurement plan and remind users to submit requests on time
  • Generate purchase orders
  • Track purchases and ensure timely delivery
  • Ensure timely submission of invoices to finance
  • Resolve invoice issues to ensure timely supplier payments
  • Provide feedback to internal stakeholders and suppliers
  • Issue tender award and rejection notifications
  • Negotiate purchases to achieve value for money

Document Management (20%)

  • File and maintain physical procurement documents
  • Receive and archive samples submitted by vendors

Internal Coordination & Compliance (10%)

  • Communicate and train stakeholders on procurement policies
  • Promote proper use of purchase requisitions and approval processes

Education & Experience

  • Bachelor’s Degree in Procurement and Supply Chain Management or a related field

Required Competencies

  • Basic knowledge of purchasing commodities, equipment, and services
  • Understanding of procurement processes
  • Familiarity with procurement systems/applications
  • Ability to manage vendor relationships

  • Proficiency in English and local language
  • Basic knowledge of MS Office (Word, Outlook)
  • Strong written and verbal communication skills

  • Ability to prioritize, meet deadlines, and multitask
