Overall Purpose of the Position
The Finance & Administration Officer will oversee the company’s financial and administrative operations, ensuring efficiency, compliance, and strong financial health. The role combines financial management, human resource support, procurement, and office administration to enable Aquacom’s continued growth and sustainability.
Key Finance Responsibilities
- Budgeting & Planning: Support preparation and consolidation of departmental and company budgets, monitor variances, and provide monthly/quarterly analysis.
- Accounting & Bookkeeping: Maintain accurate records in QuickBooks, process payments, receipts, payroll journals, and ensure compliance with IFRS and Aquacom policy.
- Revenue & Expenditure Control: Record and reconcile revenues, issue invoices/receipts, ensure expenditures follow approval thresholds, and verify supporting documents.
- Cash & Banking Management: Manage petty cash, prepare monthly bank reconciliations, and ensure compliance with signatory rules for transactions.
- Payroll & Compliance: Prepare payroll, process statutory deductions (PAYE, NSSF, SDL, WCF), and maintain confidentiality of staff records.
- Financial Reporting: Draft monthly and quarterly financial reports, prepare audit schedules, and support external and donor reporting.
- Asset & Internal Control: Maintain the Fixed Asset Register, ensure quarterly verification, support depreciation recording, and uphold internal controls to prevent fraud.
Administration & Human Resources
- Oversee procurement, logistics, and asset management across Aquacom’s HQ and branch offices.
- Ensure smooth office administration, including staff contracts, HR records, leave management, and recruitment logistics.
- Coordinate with operations teams (RAS farm, cage farming, trading, and retail outlets) to ensure administrative systems support business needs.
- Support capacity building, training, and performance tracking of administrative staff.
Strategic & Governance Support
- Provide financial insights and risk analysis to the COO and senior management.
- Contribute to business planning by analyzing financial projections for Aquacom’s expansion (fish farming, processing, and retail).
- Maintain confidentiality and integrity of company information.
Required Qualifications & Experience
- Bachelor’s degree in Accounting, Finance, Business Administration, or related field.
- At least 3 years of progressive experience in finance and administration, preferably in agribusiness, aquaculture, or related industries.
- Solid knowledge of accounting standards, tax regulations, and financial compliance.
- Proven ability in office administration, HR processes, and procurement.
- Experience working with SMEs or growth-stage companies is an added advantage.
Skills & Competencies
- Strong financial analysis, budgeting, and reporting skills.
- Proficiency in MS Office and accounting software (QuickBooks, Tally, or similar).
- Excellent organizational and time management skills.
- Strong communication skills in English and Swahili.
- High level of integrity, confidentiality, and attention to detail.
- Ability to work independently and collaboratively across teams.
